How are entries compiled for Fun and Free Competitions?

Entries that are received in the HASSRA Headlines inbox are moved unopened into an individual folder until the closing date of the competition.

Once the competition has closed, all the unopened entries are transferred into an Excel spreadsheet, which imports all the data that is required to identify the winner(s). All entries are numbered within this spreadsheet. Any hard copies of competition entries are stamped and numbered and also added to the spreadsheet

A random number machine is used to make the draw and two separate witnesses are used to adjudicate.

When the winning number is drawn, the spreadsheet is used to identify the winner. If the entry contains all the required information, the win is confirmed.

Why do I not receive a ‘read receipt’ when I email a competition entry to the inbox?

We do not open each individual entry. With such a large number of entries for each competition, it would mean a lot of man hours would be wasted doing this one job.

Why do I receive a receipt stating that my email was deleted without being read?

This appears to be a default of Microsoft Outlook once the emails are exported into the Excel spreadsheet. If you are concerned about your entry not being included, please contact HASSRA Central Support and we will check the entrant’s spreadsheet.

Why do you not print off the competition entries?

We are trying to encourage people to recycle and to print off so many entries would be wasteful.

What happens to the email entries after the competition has closed?

With all the information in the email entries exported into the Excel spreadsheet, there is no requirement to retain these emails and the competition folder is deleted.

What happens if I sent in two entries for the same competition?

If you send in a duplicate entry for a competition, it will be deleted. The rules in all HASSRA competitions state only one competition entry per member. If we find a duplicate entry in the inbox, we will retain the original email and delete the duplicate.
