Newcastle Estate Sports and Leisure Club (NESLC)

 

HASSRA Members and RCSL Members who work on the Newcastle Estate (BPV, DH, WVP and TVP) should now be aware that with the Sports Office relocating to Broadacre House in Newcastle, a new Newcastle Estate Sports and Leisure Club run by volunteer members has now evolved. If you are already a member of HASSRA or RCSL you are automatically a member of the Newcastle Estate Club.

Anyone wishing to join Sports and Social will need to fill in the relevant application form, depending on where and who you work for, please see details below:

    • To join HASSRA (eligible staff are DWP staff, EDS, SEMA, SYNTEGRA, ACCENTURE,) application forms are available from the HASSRA intranet site on the DWP intranet. Applications should be sent to HASSRA North East, 2nd floor, Broadacre House

    • To join RCSL (eligible staff are HMRC staff) application forms are available from the NICO Sports and Social intranet site or from Peter Hair, Room BP4001 BPV. Applications should be sent to BP4001 BPV

Newcastle Racecourse FREE prize draw

A DAY AT THE RACES FREE!!!!!

    • Due to the success of the trial period NESLC have purchased two annual members badges. There will, therefore, be one draw for the two badges for the meetings that are due to take place up to and including the 18th December 2010, this will entitle the winner admission to the Premier Enclosure and access to the Annual Members bar for the day.

Alnwick Gardens Corporate Membership Card for all NESLC (HASSRA/RCSL) Members

We currently have corporate membership cards to loan out to members. Each card entitles 4 adults (children go free anyway) free admission to the Alnwick Garden (Castle entrance fee is extra).

Normal admission price is £8 for working adults (children are free), so a HUGE saving of £32 can be achieved by using the card!

NOTE, due to the popularity of these tickets, bookings for dates will only be considered within two months of the date you require.

NESLC Discount Tickets

As many of you are aware we have had a numbers of problems with the sale of Discount Vouchers. Due to circumstances beyond our control we have had to change the way we handle our discount voucher sales.

We now have two new volunteers dealing with sales of the vouchers and a separate application form is required for each venue. The forms contain the contact details as well as instructions to follow. Please do not contact Steve Harris any longer for these tickets.

All correspondence must now be by post as the volunteers are not available for face to face contact. Neither should we use the internal post system. You will need to enclose a stamped self addressed envelope in all cases.

Unfortunately we can no longer offer Odeon Tickets directly however as NESLC members you can order them direct from HASSRA North East if you are a HASSRA North East member also. Again this is a postal process.

CONDITIONS OF SALE – Please read carefully before completing the application forms

    • Tickets will only be posted to members who complete a booking form in full; enclose a cheque for the correct amount made payable to NESLC and enclose a self addressed envelope.

    • NESLC will not accept responsibility for any tickets that are not used before the expiry date printed on each individual ticket.

    • NESLC will not be held responsible for any tickets that are lost in the post.

    • Only one application per month allowed and a limit of 40 vouchers (in total) per month per member will apply.

    • NESLC will accept no responsibility for third party cancellations.

Bottoms Up Organisation of Events for NESLC Members


NESLC are delighted to announce that their very popular 'Bottom Up' subsidy scheme is now back up and running!

Application Process - Instructions for organisers

    • The bottom up policy was introduced in recognition of the fact that while many NESLC members do not want to organise large events for NESLC members throughout the Newcastle Estate, many organise smaller events for colleagues and friends.

    • The claim must make it clear that you, as a NESLC member, organised the event for other NESLC members within your party (i.e. submitting a claim for an event where members booked their own tickets, paid for their own transport etc. and simply attended an event together will not be accepted) 

    • Claims can only be made by NESLC members for other NESLC members in their party.

    • The minimum cost per person for consideration to be given to a subsidy for NESLC members is £10.00 (exclusive of alcohol) and there must be at least five NESLC members taking part.

    • Maximum subsidy is £10 per member per application

    • Only 4 subsidies allowed per member per calendar year (January to December)

    • All parts of the process must be completed, before a Head of Party can make a further application.

Change in Bottoms up Contact

Due to unforeseen circumstances we have had to change the contact for anyone who submits a BU application, Porter, Claire (CustOPS NICO NISPI) or Claire.Porter@hmrc.gsi.gov.uk has now taken over. If anyone has submitted a claim form and has not received a reply from our new administrator by 1st December 2009, please send a reminder as some forms may have been lost. We also would like new volunteers to come forward to help with NESLC duties as without any help and support we cannot continue.

Bottoms Up Application form

Process

      1. Let us know where you are going and how much it will cost in total for the whole party and for each person taking part.

      2. Complete the enclosed application form electronically including the details of yourself and each of the other NESLC member taking part (leave the signature column blank) and save it.

      3. As quickly as possible, we will decide if the NESLC members within your group can receive a conditional subsidy (i.e. subject to the application remaining unchanged) and, if so, how much for each member included in the application. You will be advised of the decision.

      4. If your application is conditionally accepted the form will be emailed to the respective HASSRA and / or RCSL membership secretaries to check the validity of the members within your party you are claiming for.

      5. If your event includes alcohol, you must ask for two separate receipts, one covering non alcohol related expenses and one covering alcohol related expenses.

      6. After the event, you must send your application form and evidence to prove that you have paid for the total numbers attending, (e.g. 10 attending at £10 per head, receive an 'official' receipt from the venue stating £100 paid to them). It is accepted that the costs for the NESLC members may be included in the receipt for a larger party that included non-members. You should send the receipt(s) stapled to a hard copy of the Application Form and keep a copy of your receipts.

      7. NESLC will then pay a cheque to you, as the event organiser for the total amount of subsidy agreed, e.g. 8 members @ £5 per member agreed subsidy = cheque for £40.

      8. You must then obtain the signature of each NESLC member who received a subsidy on a hard copy of the Application Form to confirm that they have received their subsidy. The hard copy with the signatures should then be sent.

      9. A random check of 10% of those receiving a subsidy will be undertaken to ensure that they did, in fact, take part in the event.

      10. Any discrepancy in the 10% check will lead to a 100% check being undertaken. If a subsidy is claimed for a member found not to have partaken in the event, the subsidy must be repaid.
